Meet Sync (operated by Bigfynite, "we", "us") helps event exhibitors
and visitors capture and share booth information. This policy explains what we collect,
why we collect it, and the choices you have. By signing in with Google and using Meet
Sync, you agree to this policy.
1. Information we collect
When you sign in and use Meet Sync, we collect:
- Account profile — your name and email address from your Google account, used to create and identify your Meet Sync user.
- Google OAuth tokens — a refresh token used to call Google Drive and Google Sheets on your behalf. Stored in our database with access restricted to backend services, and never shared with third parties.
- Event & booth data — event names, booth names, descriptions, QR IDs, scan counts, and document metadata you create in the app.
- Uploaded files — images and PDFs you upload (business cards, brochures) are stored in your own Google Drive under a MeetSync folder we create. Meet Sync does not keep copies of these files.
- Extracted text — text extracted by OCR (Tesseract in your browser, plus structured fields via Anthropic's Claude API) is written to your Google Sheet and stored on the document record.
- Visitor check-in data — when a visitor scans a booth QR code, their name, email, and optional phone number are written to the booth owner's Google Sheet.
2. Google API access & scopes
Meet Sync requests these Google OAuth scopes:
userinfo.profile, userinfo.email — to identify your account.
drive.file — to create and access files Meet Sync creates in your Drive. We cannot see files we did not create.
spreadsheets — to create and update the Google Sheets that store your booth data.
Meet Sync's use and transfer of information received from Google APIs to any other app
will adhere to the
Google API Services User Data Policy,
including the Limited Use requirements. We do not use Google user data to train AI/ML
models, and we do not transfer it to third parties except as described in this policy.
3. How we use your information
- To create and operate your Meet Sync account.
- To create folders and spreadsheets in your Google Drive and write booth data to them.
- To process uploaded images/PDFs through OCR and a large language model to extract contact details from business cards and brochures.
- To share booth documents with visitors who scan a booth QR code, by granting their Google account read access to the relevant Drive files.
- To troubleshoot issues and improve the product.
4. Third-party services
We rely on a small number of providers to run Meet Sync. They process data only as needed to provide their service:
- Google — authentication, Drive storage, Sheets storage.
- Anthropic — Claude API receives OCR text (and, for business-card scans, compressed images) to return structured fields. Anthropic does not train on data sent through the API.
- MongoDB Atlas — managed database for account and metadata.
We do not sell personal information. We do not share it with advertisers.
5. Data retention & storage
- Account, event, booth, and document metadata are retained while your account is active.
- Files in your Google Drive remain in your control — deleting a document in Meet Sync removes the record from our database but does not delete the underlying Drive file.
- You can disconnect Meet Sync at any time from your Google account settings at myaccount.google.com/permissions.
- On request to the contact email below, we will delete your account and associated metadata.
6. Your choices & rights
- Access, correct, or delete the data we hold about you.
- Revoke Meet Sync's Google access at any time.
- Opt out of having your check-in details written to an exhibitor's sheet by declining to scan the booth QR code.
7. Security
We use TLS in transit, restrict OAuth refresh tokens to backend services only, and follow
the principle of least privilege for API scopes. No system is perfectly secure, so please
report any suspected vulnerability to the contact email below.
8. Children
Meet Sync is not directed to children under 13, and we do not knowingly collect data from them.
9. Changes
We may update this policy. Material changes will be reflected by a new "Last
updated" date at the top of this page, and where appropriate, by in-app notice.
